Lessons

Students attend lessons once a week for 30, 45, or 60 minutes during the months of September through June. Summer lessons are available July and August on a different schedule and you must register seperately for the Summer Session. Due to scheduling demands, make-up lessons may or may not be available, this will be up to the instructor and Cafe Music School, except in the case of a teacher illness or bad weather where we will reschedule or have a substitute instructor available.

When registering you are agreeing to reserving and paying for your scheduled day and time, you are agreeing to attending lessons from September to June (Fall Session) OR July and August (Summer Session) (if you choose not to terminate lessons with notice) as this is most beneficial to the student, and you are agreeing to giving adequate notice to either cancel lessons or terminate lessons permanently.

Students who REGISTER in May will be reserving and paying for your scheduled day and time from May to end of June, this is to ensure instructors have full schedules and to plan for our end of year recital. It is also most beneficial for students to finish the school year of lessons in order to not fall behind and lose the information they have learned over the Summer months. Students have until MAY 1st to give 4 weeks notice, after that you are committed until end of June to ensure teacher schedules and planning for the recital.

Registration fees of $10.00 per FAMILY for returning students and $20.00 per FAMILY for new students are due at the time of registering. This fee is to ensure your spot and also to cover all administration costs, scheduling, time, etc. Once you are registered you are agreeing to giving four weeks notice (this includes if you register in the Summer and decide NOT to take your spot - you are responsible for FOUR weeks of lessons if we cannot fill that spot prior to September lessons beginning).

Payment of Fees

All private lesson fees are paid monthly on the first lesson of each month, in advance for the month. Refunds will not be issued for missed lessons.

A 24 Hour Cancellation Period is available for a TOTAL of 4 cancellations for the year from September to June. If you give 24 hours or more notice and we CANNOT schedule a makeup lesson, we will credit you for that missed lesson for a total of FOUR times throughout the year. This is to ensure a full and consistent schedule for our instructors, to limit empty schedules and studios and to ensure our students are wanting the spots they have committed to. 

TWO 24 hours cancellations that result in a makeup OR a credit is allowed from September to end of December

TWO 24 hours cancellations that result in a makeup OR a credit is allowed from January to end of June

We will make special exceptions for holidays that are booked at the time of registration or beginning of the year.

Payment plans for other programs can vary including but not limited to: Musical Theatre, Ensembles and Groups, Dance Classes, Munchkin Music Classes, Summer Camps, etc. Please see seperate forms for these policies.

Registration Fees will be applicable starting September 2016 of $20.00 per family for new students and $10.00 per family for returning students. This covers administration and scheduling costs, and ensures your spot.

Credit Card information will be given in order to reserve my spot OR I will pay for the first and last month of lessons.  If I reserve a day and time for a lesson over the phone or by email, I must either give my credit card information, or come in to pay for the month of lessons prior to the first lesson

If I do not show up for this scheduled lesson I am forfeiting that day and time immediately and will owe for four weeks of lessons.

A late fee of $10.00 will be applied to your account if lesson payment has not been made within 30 days of the due date.If payment has not been received within 60 days you will be charged for two late fee payments, your account will be suspended, and your time and day for lessons can be given to someone else and forfeited.

Cafe Music School reserves the right to charge any outstanding balances to the credit card. Failure to obtain sufficient funds available on this credit card or not paying the outstanding amount could result in legal action.

Accounts that are over two months due and have accumulated late fees with no response from account holder will have the amount taken from the credit card or through their bank plus late fees. If the credit card or bank is rejected Cafe Music School will attempt contact of account holder and if no response the account will be sent to a creditor.

Termination of Lessons

Lessons are given on a time/date scheduling policy. Students whose balances are not paid in full after the 30th day will automatically be charged a late fee of $10.00, after the 60th day of the due date the account will be suspended, the account holder will forfeit their reserved timeslot, late charges will be applied, and lessons will be terminated.

Cafe Music School requires 4 weeks notice (verbal and written) to terminate lessons, whether you choose to attend those lessons or not, failure to pay for this notice will result in payment plus late fees.

If you choose to give your four week notice to terminate lessons you cannot cancel these last four lessons, if you are not able to make one or more of these last scheduled lessons Cafe Music School can attempt to schedule a makeup lesson, IF possible with the schedule, teacher and timeframe, if this is not possible you are required to pay for these lessons regardless of cancellation notice.

In the event that a student has not shown up for their reserved time slot for two consecutive weeks and no contact has been made by the account holder, Cafe Music School reserves the right to apply the one month termination notice (after the two missed lessons), and all normal lesson charges will apply. It is the account holder's responsibility to contact Cafe Music to attend to final month of lessons. If contact is not made by the first lesson of the final month the account holder forfeits their reserved spot for the final month.

Students Registering April or after April cannot give termination notice for the rest of the session (end of June), holidays are not included and the one time 24 hour cancellation a month is still available for ONE cancellation, if notice is given and a makeup is NOT available, but students are registered from April to June in order to secure instructors schedules and plan for the recital in June.

Regular students cannot terminate after April 30th of that year - this is to ensure schedules for our instructors and to prepare for June Recital.

Recitals & Performances

Cafe Music School performs two recitals per school year, the first in December prior to the Christmas Break, and the second in June prior to the Summer Session. These recitals, although not mandatory are highly recommended for all students as this encourages students to work towards a goal, it is proven that students progress at a faster rate when given a goal, they have fun working on a song/piece of music that they enjoy, the more a student performs, the more they become comfortable with performing in front of others and building self-esteem.

Teachers will automatically work on favorite songs/pieces of music with students as we near the recitals so students are prepared for recitals. Teachers are responsible for signing students up for recitals. There is NO charge for attending these recitals, guests are all welcome, and donations are welcome towards The Heart and Soul Program.

Group classes may have separate recitals.

Musical Theatre Policies

 

When students register for Cafe Music School's Musical Theatre Program you are agreeing to the terms stated on the registration form and the Musical Theatre Contract that you will be required to read and sign prior to attending classes.

 

Fee Payments

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added). A monthly payment plan can be arranged with automatic credit card withdrawals only if a credit card number is given at the time of registration, otherwise payment is due at registration.

If a class is full, you may choose to be placed on a wait list. If a space becomes available, students will be called in the order in which they appear on the wait list. Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offered to the next person on the wait list.

Terminating the Program/Cancelling  Classes

There are no cancellations or termination allowed during the session. Sessions vary on time of year.

Registrants are committed by contract and financially to the full session from September to May, and cannot terminate classes. This policy is necessary to make sure there are enough students to run the program without having to cancel on registered students, and to prepare the children for a performance at the end of the session.

If you/your child cannot attend a class due to illness or any other scheduling conflict, we appreciate you calling us in order to let the instructor know so she can plan accordingly, however, no refunds or credits are given for missed classes.

In special circumstances we will allow a student to TRY one class at regular charge before registering for the full session, this can be arranged with the front desk prior to that class and ONLY if we are not full.

Refund Policy

NO refunds are given for classes unless a class is cancelled due to the instructor needing to cancel and no substitute is available, or an act of God (ex: weather). If refunds are necessary for special circumstances we will give credits on your account to be used for any programs offered at Cafe Music School or refunded.

Munchkin Music Policies

When students register for Cafe Music School's Munchkin Music Program you are agreeing to the terms stated on the registration form and the Munchkin Music Contract that you will be required to read and sign prior to attending classes.

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added).  A monthly payment plan can be arranged with automatic credit card withdrawals only if a credit card number is given at the time of registration, otherwise payment is due at registration.

If a class is full, you may choose to be placed on a wait list. If a space becomes available, students will be called in the order in which they appear on the wait list. Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offered to the next person on the wait list.

This policy is necessary to make sure there are enough students to run the program without having to cancel on registered students, and to prepare the children for a small performance at the end of the session.

If you/your child cannot attend a class due to illness or any other scheduling conflict, we appreciate you calling us in order to let the instructor know so she can plan accordingly, however, no refunds or credits are given for missed classes.

Tiny Toes Dance Classes

 

When students register for Cafe Music School's Tiny Toes Dance Program you are agreeing to the terms stated on the registration form and the Tiny Toes Dance Classes Contract that you will be required to read and sign prior to attending classes.

Fee Payments

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added). A monthly payment plan can be arranged with automatic credit card withdrawals only if a credit card number is given at the time of registration, otherwise payment is due at registration.

Cafe Music School offers a session of September to May, 12 classes in the first session and roughly 16 in the second session for payment periods, you are committing to a full session of September to May, this also includes a recital at the end of the session.

If a class is full, you may choose to be placed on a wait list. If a space becomes available, students will be called in the order in which they appear on the wait list. Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offerd to the next person on the wait list.

Children’s Arts Tax Credit (CATC)

 

We are excited to announce that parents of Cafe Music School are now eligible to claim a tax credit of up to $500 per year for a each child enrolled in music lessons! For more information on the CATC, please visit the Canada Revenue Agency websiteThis is still in place for 2016.

To claim your music lesson fees on your income taxes, you will need a receipt. To obtain a copy of your receipt please request one at the front desk in the New Year and we will have it ready within 7 days or sooner.
